Personal information we collect

Personal information is information or an opinion about an identified or reasonably identifiable person. We collect contact and enrolment details, including names, email addresses, phone numbers and contact preferences; information shared in welcome, weekly and planning forms; correspondence, feedback and brief call notes; booking details; and payment and transaction records. Our welcome form also includes gender with a non-disclosure option, and optional birthday and address details.

We usually collect information directly from you through forms, email, phone conversations, bookings and purchases. Payment and booking providers also supply information needed to administer your purchase or appointment. Your private workbook answers are not automatically shared with us.

You may make general enquiries anonymously or using a preferred name where practicable. Some identifying and contact information is necessary to enrol, arrange calls and deliver personal support. If you do not provide information needed for a service, we may be unable to provide that part of the service.

Sensitive information

Information you choose to share may include health, disability, religious beliefs or other sensitive personal information. We seek only information reasonably necessary for the program and collect sensitive information with your consent, unless collection is otherwise permitted or required by law. We use it for the purpose explained when collected, a directly related purpose you would reasonably expect, or another purpose to which you consent or that the law permits.

You do not need to provide medical records or a detailed personal history. Avoid including names or identifying details of other people unless necessary. If we receive unsolicited information, we assess whether it may lawfully be retained and otherwise take reasonable steps to delete or de-identify it where lawful and reasonable.

How we use information

We use information to deliver and administer the program, provide materials and personal replies, manage bookings and payments, communicate about participation and agreed follow-up, respond to enquiries and complaints, improve our services and meet legal obligations.

Promotional contact is optional and subject to your consent, preferences and applicable law. You may opt out at any time using an unsubscribe option or emailing us. Necessary messages about an existing enrolment may continue. We do not use sensitive program answers for marketing. Testimonials are published only with separate permission and the agreed identification preference.

Disclosure and service providers

We do not sell your personal information or share participant answers with other participants. Information may be disclosed to providers needed to operate the program: Wix for the website; Stripe for payments; Google Forms, Drive and Gmail for forms, storage, materials and email; and Calendly and connected calendar or reminder services for bookings. Booking answers may appear in invitations and reminders, so use booking forms for brief practical details.

Access is limited to what is needed for the relevant service or role. If assistance is engaged, confidentiality and appropriate access restrictions will apply. Information may also be disclosed with your permission, to professional advisers where necessary, or as required or authorised by law, including a court order or a legally permitted response to a serious threat to life, health or safety.

We do not record or transcribe phone conversations. General AI writing assistance does not involve entering participant answers, personal disclosures or identifying circumstances into ChatGPT. Nadine reads responses and prepares and reviews personal replies.

Overseas handling

Our online providers operate internationally and may store, process or access information outside Australia. Locations include the United States, where Calendly stores invitee data, and India, which Stripe identifies among its processing locations. Google and Wix use international infrastructure; further locations depend on their services and subprocessors and may change. Their privacy policies are linked below.

We take reasonable steps required by applicable law concerning overseas recipients and their handling of personal information. Use of our services does not itself waive your privacy rights or provide blanket consent to unrelated disclosures.

Security and retention

Personal program records are held in our Google account and on a password-protected personal laptop. We use account protections and restricted access and take reasonable steps to protect information from misuse, interference, loss and unauthorised access, modification or disclosure. No electronic system is completely secure. We assess privacy incidents and make notifications required by applicable law.

Participant answers, personal program correspondence and call notes are normally retained for twelve months after participation ends, then securely deleted or de-identified using reasonable steps. Relevant records may be retained longer for legal requirements or an unresolved complaint or dispute. Payment and tax records are retained separately for applicable statutory periods, generally at least five years. Provider backups may follow their own deletion schedules.

Contact details may be retained while needed for an ongoing relationship, agreed updates or another lawful purpose. We review them periodically and delete details no longer needed. Retaining details does not itself authorise marketing.

Website cookies and external services

Wix may collect technical and usage information, including IP addresses, browser and device information, pages visited and cookies, for website operation, security and its own analytics. No additional marketing integrations, tracking code or third-party analytics apps have been added by us. Browser settings and any website cookie controls allow you to manage cookies, although blocking them may affect functionality.

External payment, booking, form and other services have their own privacy policies. Those policies explain their handling of information and do not replace our responsibilities for information we hold.

Access correction and deletion

Contact betterfromnow8@gmail.com to request access to, or correction of, personal information we hold, or to ask for deletion or withdraw consent for future uses. We take reasonable steps to keep information accurate and relevant. We may need to verify your identity and will request only information reasonably needed for that purpose.

We will respond within a reasonable time and any applicable legal deadline. Requests are subject to lawful exceptions and retention requirements. If we refuse access or correction, we will provide reasons in writing where required and explain how to complain. Withdrawing consent does not reverse earlier lawful handling.

Complaints and policy changes

Send privacy concerns to betterfromnow8@gmail.com. We will acknowledge your complaint, investigate and respond within a reasonable time, keeping you informed if more time is needed. If you are dissatisfied, you may contact the Office of the Australian Information Commissioner at www.oaic.gov.au. Whether it can investigate depends on its jurisdiction.

We update this policy as our practices or requirements change. The current version and update date will appear on our website. You can request a copy by email.
